01Who we are

Propals is a flexible packaging manufacturer, privately owned and operating from Laval, Québec since 1978. This policy applies to propals.com and to personal information Propals handles in the course of its business.

Because we operate in Québec and handle information about people located in Québec, this policy is written to meet the Act respecting the protection of personal information in the private sector as amended by Law 25, and the federal Personal Information Protection and Electronic Documents Act (PIPEDA).

02Privacy Officer

Propals has designated a person responsible for the protection of personal information. This is the person to contact for any question about this policy, or to exercise any of the rights described in section 11.

03What we collect

We do not sell anything through this website, we do not run user accounts, and we do not build advertising profiles. The full list of what we collect is below.

WhereWhat we collect
Quote request form
(Contact page)
First name, last name, company, email address, phone number, product of interest, and whatever you write in the message field.
Job applications Your CV and covering message, sent by email to careers@propals.com, along with anything you choose to include in it — work history, education, references, contact details.
Website analytics IP address, approximate region, browser and device type, pages viewed, time on page, and the site or search that referred you. Collected only if you accept analytics cookies.
Server logs IP address, timestamp, requested file, and error codes. Generated automatically by our hosting provider for security and troubleshooting.
Map on the Contact page The embedded Google Map loads from Google's servers, which receives your IP address and device information when it loads.

We do not knowingly collect sensitive personal information — health, financial, biometric, or government identifiers — through this website. Please do not include such information in a form message or a CV.

04Why we collect it

Each purpose below is separate. We use your information for the purpose you gave it to us for, and not for others.

  • To answer you. Contact form details are used to reply, prepare a quote, and follow up on that specific request.
  • To hire. CVs are used to assess candidates for the role applied for, and — if you agree — to consider you for future openings.
  • To keep the site working. Server logs are used to diagnose faults, block abuse, and maintain security.
  • To understand how the site is used. Analytics tell us which pages are read and where visitors come from, so we can improve the site. This is optional and off unless you accept it.

05Your consent

You give consent by choosing to send us a form, email us your CV, or accept cookies in the banner. Consent is requested separately for each purpose, in plain language, and never bundled into a single blanket agreement.

You may withdraw consent at any time by writing to our Privacy Officer. Withdrawing consent does not affect anything we did lawfully before you withdrew it. If you withdraw consent for something we need in order to continue a conversation with you, we will tell you what that means in practice.

06Cookies and tracking

Cookies are small files stored by your browser. Under Québec law, anything that tracks you or profiles you must be off by default and switched on only if you actively choose it. That is how this site is configured.

Strictly necessary

A single cookie records your cookie choice so we do not ask again on every page. It cannot be switched off, because without it the banner cannot remember your answer.

Analytics — optional, off by default

If you accept, Google Analytics (loaded through Google Tag Manager) sets cookies that measure page views and traffic sources. If you decline, these scripts do not load and no analytics cookies are set.

Third-party content

The Contact page embeds a Google Map, and our pages load fonts and scripts from Google Fonts and a public content delivery network. These providers receive your IP address in order to serve the file. We do not control the cookies they may set.

You can change your choice at any time using the cookie settings link in the footer, or clear cookies through your browser settings.

07Who else sees it

We do not sell, rent, or trade personal information. It is shared only with the service providers we need to run the business, each under a written contract that limits them to our instructions.

ProviderRole
HostingerWebsite hosting and server logs
Google FormsReceives and stores quote request submissions
MicrosoftBusiness email, including CVs sent to careers@propals.com
GoogleAnalytics, Tag Manager, Fonts, and the embedded map

We may also disclose personal information where the law requires it — for example in response to a court order — or to establish or defend a legal claim.

08Storage outside Quebec

Some of the providers listed above store or process information on servers outside Québec, including in the United States. That means the information may be subject to the laws of those countries, including access by their authorities.

Before transferring personal information outside Québec, Propals assesses whether the information will receive adequate protection, taking into account the sensitivity of the information, the purpose of its use, the safeguards in place, and the legal framework of the destination. Transfers are governed by written agreements with each provider.

09How long we keep it

InformationRetention
Quote requests and enquiries24 months from last contact, then deleted or anonymized
CVs from unsuccessful applicants12 months from receipt, unless you ask us to keep them longer
Records of successful hiresRetained as employee records under applicable employment law
Server logs90 days
Analytics dataRetained in aggregate; identifiers expire per Google's retention setting

Once the purpose for collection is fulfilled and no legal obligation requires us to keep it, information is securely destroyed or anonymized.

10How we protect it

The website is served over an encrypted HTTPS connection. Access to form submissions and job applications is limited to the employees who need it to do their job. Accounts are individually assigned, and access is removed when someone leaves or changes role. Our providers are selected in part on the security measures they maintain.

No system is perfectly secure. If something goes wrong, section 12 explains what we do.

11Your rights

If you are located in Québec, you have the following rights over the personal information we hold about you.

  • Access. Ask for a copy of what we hold, and be told how it is used and who it has been shared with.
  • Correction. Have inaccurate, incomplete, or ambiguous information corrected.
  • Withdrawal of consent. Tell us to stop using your information for a purpose you previously agreed to.
  • Deletion and de-indexing. Ask us to stop disseminating information about you, or to have a link to it de-indexed, where the law allows.
  • Portability. Receive computerized personal information you provided to us in a structured, commonly used technical format.
  • Explanation. Ask us to explain, in clear terms, any information we hold about you.

Write to our Privacy Officer at the address in section 2. We respond within 30 days. We will ask you to confirm your identity first, so that we do not disclose your information to someone else. There is no charge, though we may charge a reasonable fee for transcription or reproduction, and we will tell you the amount before proceeding.

12Security incidents

Propals keeps a register of confidentiality incidents. If an incident involving your personal information presents a risk of serious injury, we will notify you and the Commission d'accès à l'information du Québec promptly, and take reasonable measures to reduce the risk of harm.

13Automated decisions

Propals does not use automated systems to make decisions about you. Quote requests and job applications are read and assessed by people. If this ever changes, we will inform you at the time of the decision and give you the opportunity to make representations to a member of staff.

14Minors

This website is intended for business audiences and job seekers. We do not knowingly collect personal information from a person under 14 years of age without the consent of a parent or guardian. If you believe we have, contact our Privacy Officer and we will delete it.

15Changes to this policy

We update this policy when our practices or the law change. The effective date at the top of this page always reflects the current version. If a change materially affects how we handle information you have already given us, we will take reasonable steps to tell you directly.

16Questions and complaints

Start with our Privacy Officer — most questions are resolved quickly and directly. If you are not satisfied with how we have handled your request or your complaint, you may contact Québec's privacy regulator.
